Announcement.pngThe JD Edwards EnterpriseOne Australia Payroll product is enhanced to support Australia SuperStream.  SuperStream is an Australian government reform aimed at improving the efficiency of the superannuation system.  The main purpose of SuperStream is to ensure employer contributions are paid in a consistent, timely and efficient manner to a member’s account. The change also removes many of the complexities employers currently face as a result of funds being able to set up different arrangements for accepting contributions. This new functionality provides a data and payment standard used to report Superannuation contributions electronically.

A new report, Superannuation XML Extract Report (R75A0350) will generate the data file that can be used to submit superannuation contributions to your clearing house.

Australia Superstream Extract Functionality Is Available (Doc ID 2004013.1) provides more information on the new enhancement features, Australia documentation updates and Transfer of Information (TOI) access.

What are Accruals?

  • Accruals represent a number of paid hours that a company funds as additional employee compensation.  Usually, an employee accrues a certain number of hours per pay period.
  • Accruals have no effect on an employee's gross or net pay.
  • Accruals can be considered as Vacation, Sick, Paid Time Off, etc.

Accruals are set up in JD Edwards EnterpriseOne HCM product in application Pay Types, Deductions, Benefits and Accruals (P059116).  Accruals can be a flat amount or they can utilize a calculation table to provide the employee their accrued hours.

Calculation Tables utilize Table Methods.  Table Methods contain the programming rules that tell the system how to calculate the DBA using the information defined in the calculation table.  Below is an example of table methods available in the Dates Category.

  • Read the table from left to right
  • First and Second columns make up the Table Method (i.e., O+A=OA)
  • Match option in first column with value in second column, then continue reading straight across

There are a variety of table methods that can be utilized to calculate your employee accruals.  Refer to Calculation Table Quick Reference DBA Table Method Quick Reference Sheet (Doc ID 625898.1) and the Human Capital Management Fundamental Implementation Guide, Section 10.4:  Setting Up Table Method DBAs.

For more information on Understand and Utilizing DBA Calculation Tables and Methods to Calculate Accruals, please refer to the Advisor Webcast on the topic (access the 2015 Archived Tab and select the recording and/or power point presentation for Understand and Utilizing DBA Calculation Tables and Methods to Calculate Accruals). Additionally, the E1 HCM Community has been updated with Q&A from the advisor webcast. You can continue discussions on the topic here as well.

JD Edwards published a new white paper on wearable technology and its application to JD Edwards EnterpriseOne ERP. Wearable technology represents one of the major innovative technology trends in recent times. untitled.bmpIn the 9.1 Release of JD Edwards EnterpriseOne we introduced Global Locator Number (GLN) for Electronic Data Interchange (EDI).

What is GLN? GLN is part of the GS1 systems of standards. GLN is a simple tool used to identify a location. The GS1 Identification Key is used to identify physical locations or legal entities. The key comprises a GS1 Company Prefix, Location Reference, and check digit.

A location identified with GLN can be a physical location such as a warehouse or a legal entity such as a company or a customer. GLN can also be used to identify something as specific as a particular shelf in a store.

Being able to identify locations with a unique number is a key to many business processes. The GLN is used in electronic messaging between customers and suppliers, where location advice is important.

For more information on Global Locator Number functionality within JD Edwards EnterpriseOne, review these great documents:

  • 9.1 Enhancement - Global Location Number for EDI Demand Scheduling (Note 1493472.1)
  • 9.1 Enhancement - GLN (Global Location Number, Global Locator Number) related Business Functions (Note 1487525.1)
  • 9.1 Enhancement - Global Location Number in Reports (Note 1493740.1)

Were you aware that there are 5 Essential Keys to understanding Fiscal Anniversary Rollover?

Essential Key #1 – Understanding Anniversary Rollover

Anniversary Rollover allows the Payroll module to rollover accrued vacation or sick time balances at a specified time other than the end of the standard calendar year.  Anniversary rollover can be based on the Company’s fiscal year, any date field utilized by the Employee Master such as Date Started, Participation, Birthdate, etc. or a User Defined Date.

Essential Key #2 – DBA Setup for Rollovers

There are two types of DBAs that can be used with Anniversary Rollover.

  • Immediately available (Single DBA setup)
  • Accrual calculates for later availability (Paired DBA setup)

Essential Key #3 – Rollover Process

Anniversary rollover can be processed during Payroll or Stand alone via R073910 (Leave Anniversary Rollover)

Essential Key #4 – History Update

Anniversary DBAs populate the F06147 (Fiscal Anniversary Year History) for the accrual, available and any leave taken for the anniversary year.

Essential Key #5 – Online Inquiry

The Benefit Accrual Inquiry (P070931) can be used to review benefits and accrual history and year to date balances for anniversary DBAs.  Remember to set the processing option #1 – History Source File behind P070931 on the Process Tab to ‘1’ in order to pull in historical information from the F06147 table.

One of the foundations of Accounts Receivable is the ability to effectively manage the invoices you send to your customer. After all, if you don’t invoice them, you won’t get paid!

Most invoices will come into A/R from other systems:

  • Via the Batch Invoice Processor (R03B11Z1A) from outside, non-JDE1 systems
  • Via Sales Update (R42800) from the JD Edwards EnterpriseOne Sales Order module
  • From the JD Edwards EnterpriseOne Real Estate Management module
  • From the JD Edwards EnterpriseOne Contract/Service Billing module
  • Via Manual Netting (P03B455) from the JD Edwards EnterpriseOne Accounts Payable module.

But you can also enter them directly in A/R using:

  • Standard Invoice Entry (P03B11)
  • Speed Invoice Entry (P03B11SI)
  • Recurring Invoice Entry (P03B11): use either the Recurring Invoice form, which you access from the Form menu, or complete the frequency and number of payments fields in the detail area of the invoice.

Before you can get the invoices into the system, make sure you:

  • Set up the following UDCs:
    • Document Type Codes (00/DT)
    • Invoice Document Type Codes (00/DI)
    • Payment Status Codes (00/PS)
    • Payment Instrument Codes (00/PY)
    • Language Preference Codes (01/LP)
  • Decide what next numbers method to use, Standard Next Numbers or Next Numbers by Company/Fiscal Year.
  • Set up AAIs.
  • Set up payment terms.

Getting invoices into the system and processing them consists of three steps:

  1. Entering them.
This creates unposted records in these tables:
    1. Batch Control (F0011);
    2. Customer Ledger (F03B11);
    3. General Ledger (F0911): entry or entries for revenue accounts only.
  2. Reviewing the entered invoices, and if appropriate, approving them.
You review, and revise if needed, the invoices via Customer Ledger Inquiry (P03B2002) and Standard Invoice Entry (P03B11). You can then approve them via Invoice Journal Review (P0011), if you’re using Manager Approval (this is a setting in the A/R Constants (P0000)).
  3. Posting the invoices to the General Ledger (F0911) and Account Balances (F0902) tables by running the G/L Post (R09801).
This updates the F0011 and F03B11 records to posted, creates offsetting entries for the A/R Trade account, and tax accounts if applicable, in the F0911, updates the existing entry or entries in the F0911 for the revenue account(s) to posted, and updates the account balances for all the G/L accounts, trade, revenue, and tax if applicable, in the F0902.
