    Oracle workflow help

      Hi Team,

      EBS version : R12.1.3
      DB : 11.2.0.2


      The Oracle workflow needs to be updated. User 'A' no longer with us. These emails now needs to be sent to new user 'B'. ex: B@xxx.com
      What is the procedure to update the flow of the emails generated through the workflow system?

      Your help is highly appreciated..

          Hi,

          You can set Vacation Rule to Delegate with Transfer Notification option.

          For existing notifications you can Re assign to new Approver manually(Using Sysadmin) if count is not large.

              Hi,

              Your best shot to take care of existing worflow runtime data (including notifications) could be using API WF_MAINTENANCE.PropagateChangedName(). Typically HR module needs to submit this change when an employee leaves the company.

              Try it on a test environment first.

                Hi,

                You can log into Workflow Administrator Web Applications responsibility
                At end there is Tab Notification or Administartion there you can find vacation rule.

                  Yes i have found the navigation..

                  Under vacation rule tab:

                  Personalize "Search" Select a User whose Notification Rules to be configured

                  *user : Oracle application user : <userrname>  GO

                  Create Rule :

                  After clicking on "Create Rule" tab i was guided to two stages..

                  Vacation Rule: Item Type --> ( have chosed Item type as ALL )
                  Vacation Rule: Response --> ( Here i see more options like Start date, End date, Message, Re-assign, Delegate your response, Transfer notification ownership )

                  These options Re-assign, Delegate, Transfer comes with radio buttons which means i can chose any one at a time.

                  Against the re-assign option i have to provide new username ( please is this right or wrong ? ).. Now finally delegate or Transfer which one to choose ?

                    Correct.
                    If user a will be out our office for vacation or short duration, you can select delegate option.
                    If user has left the organization you can transfer the notification.

                      I have done in PROD expecting positive results from the user on the other side..

                      After doing it, the final display was like this:


                      Vacation Rules:

                      Oracle Application user : <user A>

                      Rulename Item Type Notification Update Delete status
                      Tranfer: <user B> <all> <all>

                        There is a fundamental difference between delegating and transferring a notification - it has nothing to do with whether the person has left permanently or whether they are on a short break.

                        There is a good post of the WorkflowFAQ blog at http://www.workflowfaq.com/delegating-or-transferring-notifications explaining the difference and what they mean - I recommend that you read it before following this advice.

                            You can check in wf_notifications table for message_type(Workflow Item Type) and RECIPIENT_ROLE or ORIGINAL_RECIPENT column.

                              select MESSAGE_TYPE,RECIPIENT_ROLE,ORIGINAL_RECIPIENT from wf_notifications where RECIPIENT_ROLE='USER A';  
                              MESSAGE_TYPE  (Workflow Item Type)                          RECIPIENT_ROLE                 ORIGINAL_RECIPIENT                        
                              
                              OEOH                                                         USER A                                 USER A
                              APEXP                                                        USER A                                 USER A
                              So, OEOH and APEXP were the workflow routed through user A right ?

                                Correct.
                                For each and every node record will be created in wf_item_activity_statuses and/or wf_item_activity_statuses_h table.
