Our idea is to disable/hidden the option Email from the Destination Type LOV - but keep the notification option. This request is to prevent users to send Excel files with HR data (PII Information) via email with no Password Protection.

If this is not possible, then we would like to have a way to dynamically create a password for each BIP report that is generated via Schedule Report Job, under Output tab, Destination section, Destination type "Email".

 

Use Case and Business Need

Back in 2019, we raised the following SR 3-19412034961 to check the possibility of removing/hiding the Email option from Destination type in Destination block, Output tab, in BI Publisher Schedule Report Job screen.

We were told that it could be done by removing the email setup in BI Administration, Manager BI Publisher, Delivery Configuration, Email tab. Because of the risk of impacting some other processes - like interfaces, we decided back then not trying this possibility - not even in non-production environment.

Now, in 2020, we have tested this option and what happened was the option to send the link (notification) via email was also removed from the Scheduled Report screen.

Apparently, it worked as the option was removed from the Destination type LOV. However, it removed the possibility to enter our email in the notification tab as well. We do need to keep this notification functionality so that users can received email notification with the links for downloading their reports once the scheduled process is completed.

More details

Our issue with the Destination Type option is that it allows the user to receive the report output in an open format (e.g. Excel, PDF, PPT) via email. As we manage HR data, there is PII information in these files - therefore we have a GDPR related concern here. We would like to request to remove that email option but keep the notification option.

    We support this feature . We want to disable the 'Email' from Destination Type in BIP Output tab to avoid data leakage .

    Enthusiastically support this idea - would also like to add the option to disable access to this functionality by user role or add a user role that enables for users with admin access.

    Supporting this. Adding to the above Idea, our customer is looking to have Email destination type disabled for a specific report (Confidential data) and not for all reports.

    This would be such a benefit as we deal with a variety of confidential data reports and would like to eliminate possibility of accidentally sending the report via email.
