    How to setup the accruals in the combination of years of Service and Grades

      Dear All,

      As part of the Absence management implementation, here we are having the below requirement which needs to be implemented.

       

         

      LEAVE ENTITLEMENT - PERMANENT EMPLOYEE
      Emp Service YearLeave entitlementLeave Additional ScheduleRemarks
      Service year < 5 years
      (Employee who has service year less than 5 years)
      14 dayson 1 Jan on the next yearIt will be prorated if employee join date after 1 Jan. 0 - 5 years means
      5 yrs =< Service Year < 15
      (Employee who has 5 years service year but less than 15 years)
      18 dayson 1 Jan on the next yearIt will be prorated if employee join date after 1 Jan
      15 years and above
      Employee who has 15 years service year and above)
      20 dayson 1 Jan on the next yearIt will be prorated if employee join date after 1 Jan
      Managers (Grade 13.1 and above)20 dayson 1 Jan on the next yearIt will be prorated if employee join date after 1 Jan

       

         

      NOTE : Leave forfeited schedule is 18 months from 1 Jan or by 30 June next year
      NOTES :
      - The employee leave entitlement will be added on each 1 Jan each year and the number of service year will refer to 1 Jan instead of employee's joined date
      - No more leave carried forward
      - Unpaid leave will deduct employee's monthly salary
      - Employee should apply leave from Leave of absence module or other E-Leave system only
      - Employee leave utilization should deduct the employee previous (last year) leave balance first, if the employee still has a balance
      - Mass leave / Forced Leave will deduct employee's annual leave balance
      - Advance leave for new hire, who has not completed his/her 1 year service will be treated as unpaid leave
      - Long term unpaid leave (30 days and above) will need final approval from top management (Managing Director - Justin)
      - Any exception of the above procedures must get top management approval (Managing Director - Justin)

       

      SCENARIO 1 :
      Employee joined date is 1 Feb 2019. So by 1 Jan 2020, the employee will entitle 13 days leave (11/12 x 14 days), which is valid until 30 June 2021.

       

      SCENARIO 2 :
      Employee joined date is 1 Jan 2017, his leave balance as of 1 Jan 2018 was 14 days refer to the policy. He has taken 10 days leave until 31 Jan 2019. Therefore, he still has 4 days leave balance that is still valid until 30 June 2019 and additional 14 days leave on 1 Jan 2019. On 5 February 2019, the employee wants to take 3 days leave from 10 - 12 Feb 2019 and it will deduct his previous year leave balance (2018 entitlement). So that by 13 Feb 2019, his leave balance will be 15 days, which 1 days from his previous leave balance (valid until 30 June 2019) and 14 days from 2019 entitlement (valid until 20 June 2020).

      Created Elements and Element Links
      Defined Absence Types, Accrual Plans
      Assigned "PTO_PAYROLL_BALANCE_CALCULATION" for Accrual and "PTO_PAYROLL_CARRYOVER" for carryover.
      Have Set 01 January as the "Payroll Balance Reset Date" (Plz. Refer Screenshot)
      Defined Element Set including all the absence elements defined in it
      Assigned the Element set to the Employee Self Service for the Accrual plan and Yes to Scheduled based Absence Calculation profile option

      Defined Shifts for:

      1) 5 days 8 hours

      2) 5 days 9 Hours

      3) 6 days 10 hours

      Defined work schedule patterns, schedules for the above shift patterns.

      Please let me know:

       

      1. If there are any other setups to be done.
      2. Kindly let me know how can I handle accruals in the combination of year of Service and Grades.
      3. Any changes in the fast formula (not much aware of fast formula ) so it will great help if you have code and help me to locate it in the respective fast formula. (where to change the code in formula.)
        Any other better solution to handle this absence policy?
