COA Segment Request Process
Hello all! I am from Marion County, Oregon and we are currently in implementation. Do any of you have suggestions for a business process for users to request new Chart of Accounts segments from users?

Welcome! Here are a few options for you to consider:
- Leverage the functionality within Oracle Enterprise Data Management to create a request: https://www.oracle.com/performance-management/enterprise-data-management/#rc30p7. This is a separate module so you'd want to verify that you are subscribed.

Hi Allycia - this is your neighbor Mike from Yamhill County. We do not have process to get requests for new chart of all accounts. All requests come via email to me or Tara the assistance Finance Manager and we work with them to either guide them to another currently existing one, or what the new one should be to fit into our current structure. Either Tara or I will then enter it into the GL.

Allycia - great question! I am from Missouri and we are currently implementing all things Oracle Fusion. As mentioned above, we are planning to implement EDMCS (a piece of EPM) to hold our COA values, allow for requests for changes, and also ultimately approve the changes and push the codes throughout the system. This is our goal. Currently, we are working on standing up a view only EDMCS instance but will iterate to our future end state. Related to COA, I highly recommend including 1-3 future use fields to allow for future needs in your COA. We started with 3 such fields and currently have 2 remaining. The idea was to allow for future GASB reporting requirements or other needs in the future since we plan to have the system for 20 years. We are defaulting 0s for now.

I agree with Stacy - we started with two extra chart fields and now we only have one left. HHS wanted an extra field about one year after the implementation.

The City of Roseville went live in 2019 w Fusion Cloud. Will you be using the Projects (PPM) module? Our COA is set up with Fund, Account, Center, Projects, Function, Interfund and Future. We are heavy on project use and having that segment in our COA structure makes tracking projects in GL easier. Our Future segment is still unused and defaults to 0's.
As for our process of adding and now end dating segments, it has been via form and email approvals with then ERP entering the approved segment into COA. However, we are working on putting this workflow into OnBase so it will run smoother and easily accessible history of the approvals and completion.
