When creating custom fields in NetSuite, you can assign default values so users don’t have to fill them in manually every time. However, sometimes you need that default to be dynamic — for example, setting the current date, current user, or values that depend on another field.
Using Formula Fields, you can achieve this without any scripting.
Why Use Dynamic Default Values?
Dynamic defaults help:
- Reduce user input errors
- Automate repetitive data entry
- Improve record consistency across transactions and custom records
Common examples include:
- Setting today’s date as default
- Defaulting the “Created By” field to the current user

Step-by-Step Instructions
1️⃣ Navigate to the Custom Field
- Go to Customization > Lists, Records, & Fields > choose the appropriate type (e.g., Entity Fields, Transaction Fields, or CRM Fields).
- Click New or edit an existing custom field.
2️⃣ Set the Field Type
- Select the Type that suits your data: Date, Text, List/Record, Checkbox, etc.
- Example: To set a date that always defaults to “today,” choose Date.
3️⃣ Define the Default Value
- Scroll to the Applies To section and expand the Validation & Defaulting tab.
- Locate the Default Value field.
4️⃣ Enter the Formula
Check the box labeled Formula — this enables dynamic logic.
Then, enter your formula depending on what you want the default to be:

5️⃣ Apply the Custom Field to the Form
- On the Applies To tab, select which record or transaction type uses the field.
- Click Save.
- Add the field to your custom form (if needed) under Customization > Forms > [Form Type].
6️⃣ Test the Result
- Create a new record for the type where the field applies.
- Confirm that the field now pre-fills dynamically according to your formula.
