As customizations grow, forms can become crowded with fields used for different purposes. Some fields are meant for users to complete during data entry, while others are used by admins, workflows, scripts, reporting, or review processes.
Separating admin fields from user entry fields can make forms easier to use and easier to support.
Scenario
A custom form includes many fields.
Some fields are used by users during normal entry, such as:
- request type
- due date
- priority
- notes
- assigned owner
Other fields are mainly used for administration or system control, such as:
- processing status
- integration reference
- workflow flag
- script control checkbox
- audit review note
When all fields are mixed together, users may be confused about which fields they should complete.
Solution
Organize fields by purpose.
Keep user entry fields visible and easy to complete. Move admin or system-control fields to a separate section, subtab, or restricted form area.
This helps users focus on the fields they actually need while still allowing admins to review important control values.
Field Types to Separate
User Entry Fields
These are fields users actively complete as part of the business process.
Examples:
- request reason
- customer contact
- task notes
- target date
- priority
- category
These fields should usually be easy to find and clearly labeled.
Admin or Control Fields
These fields support administration, automation, reporting, or troubleshooting.
Examples:
- workflow status
- script processing flag
- integration ID
- system review status
- migration reference
- internal audit note
These fields may not need to appear in the main user entry area.

Example: Separate Fields on an Internal Request Form
An admin has a custom form called:

The form has both user entry fields and admin/control fields mixed together.
Navigation
NetSuite: Go to Customization > Forms > Entry Forms
Open the form: Internal Request Form
NetSuite Next:
Click Explore (hamburger icon in the bottom left corner beside the home button). In the menu, go to Customization > Forms > Entry Forms. Then, on the next page, click on the needed Form
3-Step Separation Approach
Step 1: Keep User Entry Fields in the Main Area
Place fields users complete during entry near the top of the form.
Examples:
- Request Type
- Due Date
- Priority
- Request Notes
- Assigned Owner
These are the fields users need to complete or review regularly.
Step 2: Move Admin Fields to a Separate Subtab
NetSuite:
Go to: Customization > Forms > Subtabs
NetSuite Next:
Create or use a subtab called:
Click Explore (hamburger icon in the bottom left corner beside the home button). In the menu, go to Customization > Forms > Subtabs > New.
Admin Fields
Move system or control fields there.
Examples:
- Processing Status
- Workflow Flag
- Script Control Checkbox
- Integration Reference
- Audit Review Note
Step 3: Set Display or Access Controls
For fields users should not edit, set the display type to:
- Inline Text
- Disabled
- Hidden, if users do not need to see it
Result
Users see the fields they need for normal data entry, while admins still have access to fields used for workflow, script, reporting, or troubleshooting.
