Custom Record Transaction List Permission

Hoping someone can help. I created a custom record type with a series of fields to input support renewal information. So there are list fields based on mfg/vendor/transactions and text box fields. It seems like only when I am in ADMIN role, that the transaction list will find the Sales Order or PO Number. In any other role it states not found. I have added roles to have access directly on the custom field, but noting seems to be working. I also tried adding custom record entries to the actual role itself and still doesn't work. I'm sure this is
