New To NetSuite | Workflow: Create a Created By: field for Transactions.
Ever wondered if it’s possible to have a field that automatically sets the employee that created the transaction?
In this topic, we will tackle how to create a Workflow that will automatically set the employee who created the transaction on a custom field. This is commonly used by a lot of companies in their Approval Workflows.
Create the Workflow:
1. Navigate to Customization > Workflow > Workflows > New
2. On the Workflow setup page, click the set the fields below:
- Name: <Set your Workflow name here>
- Record Type: Transaction
- Sub Types: <Select any transaction type>
- Execute as Admin: Yes
- Release Status: Released
- Keep Instance and History: Yes
- Enable Logging: Yes
- On Create: Yes
Create the Custom Field:
In this part, you can either create a Custom Body Field or a Custom Workflow field. In this topic, we’ll be creating a Custom Workflow Field.
1. On the Workflow Setup page, click on New Field
2. On Workflow Field setup page, set the values of the fields below:
- Label: Created by
- Type: List/Record
- List/Record: Employee
- Store Value: Yes
Create the Action:
1. On State 1, Click on New Action > Set Field Value
2. On the Action setup, set the fields below:
- Field: Created by (Workflow)
- Static Value: Yes
- Selection: Current User
Result:
Once a user has successfully made a Transaction, the field should now show up under System Information > Workflow History:
