PO PDF communication in shared instance

Hi,

i have a concern regarding supplier communication where we have a shared instance with other BUs and the problem is the PO template related to procurement BU1 is being sent to other PO which is associated with different Procurement BU2

how to control it? where if the Procurement BU1 created PO and Approved it then only PO template to BU1 should be sent.
