What is your new hire process?

Summary:

We just implemented Oracle HCM, but we're noticing that the new hire process is very manual/requires a lot of manual intervention.

Our current workflow is:

  • Offer letter goes out to applicant
  • Applicant accepts offer letter
  • Applicant becomes "PENDING WORKER" and converts to a "employee" upon start date

However, during the "PENDING WORKER" phase, they need to log in to complete their preboarding tasks. What is the best practice on providing these users with their username and password? Is there an automated process?

The current suggestion is for our hospital's IT to create a new user category named "PENDING_WORKER" (we currently only have DEFAULT and SERVICE_USER), have someone in IT manually assign this new hire to the "PENDING_WORKER" user category, which allows the user to reset their password and log in MANUALLY without Single Sign On (since they have no company email yet). Once this new hire starts on their first day, their Oracle account will get a username and email pushed from our company's AD, and IT goes back in to change their user category to "DEFAULT" to prevent them from being
