Process items demostration ( inventory - order management - install base )

I need some help

A copier or projector where a client is sent to conduct usability testing for a while, we call this process: items in demonstration.
item remains the property of the business
What is the best way to set this process.
With that document item records the output to the client.
And further that the installed base to register your name and location on the client.
