Options for PO/release archival?

We have a requirement to save copies of purchasing documents that are sent externally to suppliers (Standard PO's/releases). Our work around is for the buyer to enable the profile option "PO: Secondary Email address" so the buyer will always be CC'ed on email communications. Then the buyer saves the email in a shared Outlook mailbox. Is there a more automated solution we could use for saving previous PO emails or the PDF versions?
