Scenario
A user wanted to create a Saved Search in NetSuite to track how many times the total amount of an Invoice had been edited and identify which users made the changes.
The business needed to review Invoice amount changes for transactions modified after 11/01/2025 and wanted the search results to include: Invoice number, Customer, Old Invoice amount, New Invoice amount, User who made the change and Date of the change.
The user reviewed the System Information tab and attempted to use a CASE formula based on System Notes fields to identify Invoice amount edits but needed guidance on the correct Saved Search setup and formula logic.
Solution
Create the Saved Search using the details below:
• NetSuite: Go to Reports > Saved Searches > All Saved Searches > New
• NetSuite Next: Click Explore (hamburger icon in the bottom left corner beside the home button). In the menu, go to Reports and analytics > Saved Searches > All Saved Searches > New Saved Search
Saved Search Type: Transaction
Criteria tab
Transaction filters
- Type = Invoice
- Main Line = Yes (important so you’re not pulling line-level results)
System Notes (join) filters
- System Notes : Type = Change
- System Notes : Date = on or after 11/1/2025
- System Notes : Field = Total
Results tab (columns)
- Document Number
- Name
- System Notes : Date
- System Notes : Set By (this is the user who made the change)
- System Notes : Field
- System Notes : Old Value
- System Notes : New Value
