Scenario
A user wanted to create a Saved Search in NetSuite that could be shared with the Collections team to display customers together with their recent payments applied against invoices.
The requirement included displaying the payment amount in both local currency and foreign currency. While testing Invoice Saved Searches, the user found that the standard Amount Paid field returned the combined total of all applied transactions, including Payments and Credit Memos, which did not provide the desired payment specific results.
The user needed a way to display only the payment amounts applied to each Invoice together with the related payment transaction details.
Solution
This requirement can be achieved using an Invoice Saved Search with formula fields that specifically filter for Payment transactions.
Create the Saved Search
- Navigate to: Reports > Saved Searches > All Saved Searches > New
- Select Transaction as the search type.
- Set the search type criteria to:
- Type = Invoice
- Main Line = True
- Results Tab
- In Results Tab, add the following standard fields:
- Customer Name
- Document Number
- Amount
- Applying Transaction
- Then add the formula below
- Payment Amount in Local Currency: Formula (Numeric) > case when {applyingtransaction.type} IN ('Payment') then {applyinglinkamount} else 0 end
- Payment Amount in Foreign Currency: Formula (Numeric) > case when {applyingtransaction.type} IN ('Payment') then {applyingforeignamount} else 0 end
This formula returns only the payment amount applied to the Invoice in foreign currency.
Using these formulas prevents Credit Memo amounts or other applied transactions from being included in the payment totals.
