Scenario
A user wanted to better understand the status behavior of Cash Sale transactions in NetSuite and determine how to ensure that a Cash Sale is properly marked as deposited.
The business needed visibility into when a Cash Sale is considered undeposited versus deposited and wanted to avoid situations where Cash Sale payments remain unapplied or excluded from bank deposits.
Solution
In NetSuite, the status of a Cash Sale depends on whether the payment has been included in a bank deposit.
Cash Sale Status Behavior
- A Cash Sale remains undeposited when the payment has not yet been included in a Bank Deposit transaction.
- Once the Cash Sale payment is included in a Deposit transaction, the status updates to Deposited.
How to Ensure a Cash Sale Is Deposited
To make sure the Cash Sale is deposited correctly:
- Verify that the Cash Sale uses:
- An Undeposited Funds account, or
- A payment account configured for deposits
- Navigate to: Transactions > Bank > Make Deposits
- Locate the Cash Sale payment in the deposit list.
- Select the Cash Sale transaction and create the Deposit.
After the Deposit transaction is saved:
- The Cash Sale is marked as Deposited
- The payment is moved from Undeposited Funds to the selected bank account
Important Consideration
If the Cash Sale is posted directly to a bank account instead of Undeposited Funds:
- The transaction may already be considered deposited
- It may not appear on the Make Deposits page
Review the payment account setup on the Cash Sale to confirm the expected deposit behavior.
