Time tracking is an important part of managing employee work, project costing, billing, payroll, and internal productivity reporting. In NetSuite Next, users can enter time in two main ways: through Time Entries or through Weekly Timesheets.
Time Entries are useful when entering individual time records, while Weekly Timesheets are helpful when recording multiple days of work in a single weekly view. NetSuite Next provides several navigation paths for both processes, allowing users to choose the method that best fits their workflow.
A. Entering Time Entries in NetSuite Next
Time Entries allow users to record time for a specific employee, date, project, task, or activity, depending on how the NetSuite account is configured. There are three common ways to create a new Time Entry.
Option 1: Create a Time Entry from Track Time
1. Open the Explore menu (hamburger icon on the bottom left corner beside the Home button).
2. Navigate to: Transactions > Employees > Track Time
This is the most direct path when the goal is to immediately enter a new time record.
Option 2: Create a Time Entry from the Time Entries List
1. Open the Explore menu (hamburger icon on the bottom left corner beside the Home button).
2. Navigate to: Transactions > Employees > List Track
3. On the Time Entries page, click New Time.
This option is useful when you want to review existing time records first before creating a new one.
Option 3: Create a Time Entry from an Existing Employee Time Record
1. On the Time Entries page, click View beside any employee name.
2. In the top-right corner, click New.
This method is helpful when you are already reviewing employee time information and need to quickly add a new entry from that page.
B. Entering Weekly Timesheets in NetSuite Next
Weekly Timesheets allow users to enter or manage time across an entire week. This format is especially useful for employees or administrators who need to record several days of work at once.
Option 1: Create a Weekly Timesheet Directly
1. Open the Explore menu (hamburger icon on the bottom left corner beside the Home button).
2. Navigate to: Transactions > Employees > Weekly Timesheet
This is the most direct option for creating a new weekly timesheet.
Option 2: Create a Weekly Timesheet from the Weekly Timesheets List
1. Open the Explore menu (hamburger icon on the bottom left corner beside the Home button).
2. Navigate to: Transactions > Employees > List Weekly Timesheet
3. On the Weekly Timesheets page, click New Weekly Timesheet.
This option is ideal when you want to view existing weekly timesheets before adding a new one.
Option 3: Create a Weekly Timesheet from an Existing Employee Record
1. On the Weekly Timesheets page, click View beside any employee name.
2. In the top-right corner, click New.
This method is useful when you are already reviewing an employee’s weekly timesheet and need to create a new one from the same area.
Track Time and Weekly Timesheet can also be accessed through:
1. Search NetSuite field.
2. Search menu field.
Time Entries vs. Weekly Timesheets
Feature | Time Entries | Weekly Timesheets |
|---|
Best used for | Individual time records | Full-week time tracking |
Entry style | One time entry at a time | Multiple days in a weekly view |
Common use case | Adding or correcting a specific time record | Recording an employee’s work for the week |
Navigation area | Track Time or List Track Time | Weekly Timesheet or List Weekly Timesheet |
Before saving or submitting time records, users should carefully review key fields such as the employee name, date, week, hours, project, task, customer, or activity. The exact fields may vary depending on company setup, role permissions, and enabled NetSuite features.
For individual adjustments or one-off time records, Time Entries are usually the better option. For entering a full week of work, Weekly Timesheets provide a more organized and efficient experience.
Users should also be mindful of internal approval workflows. Some companies may require time records to be submitted for approval before they can be used for payroll, billing, project costing, or reporting. If a submitted timesheet needs to be corrected, the user may need to follow the organization’s correction or approval process.
When reviewing existing records, the list pages are especially helpful. The Time Entries and Weekly Timesheets pages allow users to confirm what has already been entered before creating new records, reducing the risk of duplicate or inaccurate time submissions.
