Sharing the reports from My Personal folder (Report and Analytics)

Content

We have some users in the business team created the reports on their personal folder (My Folders), but wanted to share to specific user(s). These reports are not meant to be shared widely, we refrain from placing it on the Custom shared folders.

Upon researching, found that BI Administrator user can go to the Admin View and give permissions on the User folder and then copy the reports from one user to another user.

Trying to find if there any other options that are available/used at other client places to share the reports from User A 'My Folder to User B 'My folder' other than BI Admin role user copying it.

Any pointers are highly appreciated!

Vijay

One option is user A can archive report and send it to User B so user User B can un archive in which ever folder they need (My folders or custom)?

As standard users User A cannot access User B's My Folder user A will need to copy to a protected folder in Shared folders or use the Archive/Unarchive process as Syed mentioned

Under shared folder create a folder named User Reports or shared reports. Have user create reports and shared under one of the sub-directory or sub folder under created shared folder.

Data & Subject area security will be applied by default, this way you will be able enable users to share across reports in faster and better way w/o dependency on IT team.

Also for maintenance, you can use usage tracking and remove unwanted reports every 6 months, if folder size grows. we have used this approach for 10K OBIEE user base and it worked out pretty fine.

Certain users doesn't have the option to archive/unarchive unless we add a power role.

yes, that is the option that we are trying. Create one Temp folder under shared with edit access so that users can share the reports.

Create a new folder under Shared Folders, in parallel create a security role and assign that to the folder.

Now provide those roles to specific users and thus only they can access them.

    Thanks,

    Aravind

1)Create Custom Folder under Shared folder and create a custom role in the Security console and grant the custom role to the users

2)Only BI Platform Author role or BI Administrator users can only do archive/unarchive
