Another option is to use an Invoice in Pending Approval status. You would need to turn on Bill before fulfillment.

Olivier, Thanks for the response. After fooling with this I realized the setting "Enable Tax Lookup on Sales Transactions" was not checked. As soon as I did that, the drop down went away and the check box appeared.

Joachim, Thanks. Unfortunately it is not just a single item but many of the items they sell. One particular vendor has 40+ items that are priced this way. I am leaning towards a custom record that contains the Item, Customer and price.

Carl, Yes, we store the custom selling price but my customer also has custom Purchase Price by vendor/customer. They negotiate a contract price with the vendor each time a new customer comes on board.

Try this: Go to Set -> Accounting -> Accounting Preferences. On first page there is a selection "Expand Account Lists". Check that and you should be able to see all accounts. Check the field level help to make sure that is what you want as it affects all account selection drop downs (I believe)

Erica, when issuing credit use a quantity of zero and inventory will not be affected. Item records cannot have a minimum qty on the record. I reported the inventory return as a bug but was basically told that it was a "feature".

Actually not. The concept of doing a cash sale and affecting inventory (as well as cash return) is like a point of sale transaction. Wish I would have seen this sooner. There is an company setting Setup -> Company -> Printing and Fax called "Print Separate Voucher for Bill Payments" under transactions. Now when it overflows, you go to Print Checks and Forms and select Payment Vouchers. Prints all the supporting documentation on plain 8.5x11 paper..
