How to Fill Requsition when we send manual offers?

Hi Experts, we have an ongoing issue with recruiting module let me know how can we resolve this, below is the explanation.

Content (required):

once the candidate moved to the offer stage we create an offer and instead of extending we download it and send it manually through Email for his physical signature. once the candidate accepts the offer and sends us a reply email and then we click Fill the Requisition.

due to this when we run the reports, the status is showing as 'OFFER-Rejected by Employer'. it has been an issue when are having audits.

does anyone know how can we make this status 'OFFER-ACCEPTED' without extending it?
