Upload Faxed copy of customer PO into Netsuite

In our current old system, we receive customer PO from our fax system, and automatic converted to tif format and  stored in to a shared folders. Then with our existing old software, a person will "tag" each fax. eg. from which customer, what is it about (PO, complaint, others) and to indicate the receiver name so it is visible to the person only.

I wondering how can this process be implemented in Netsuite, in replacing our old system. Please advise. Thank you.
