Duplicates on Search

On our contact records we have a Catagory field.  Sometimes the Contact fits multiple catagories so we highlight both.

When we do an Export for mailings and select multiple Catagories on the filter, it will export that Contact record multiple times causing us to waste postage.  Does anyone know how to stop this duplication in the filter or elsewhere?

P.S.  With the old user group system I used to get an email every day with the new posts.  I cannot figure out how to receive that now.  Is it possible?
