Creating a Workflow

I am trying to create a workflow that triggers an approval and an email if the prospect or a lead is moved into the customer category.  Our lead has 4 categories, Prospects have 4 categories and the customer has 4 categories.  I understand that the Record type has to be Customer (Prospect)  but need to know if the event needs to be.  Any help would be greatly appreciated
