Letter template from Cases

Hi,

I am looking to implement a pre-populated letter/claim form to send to customers from a case record.

I have created a Merged document via Word using NS source file, uploaded this to file cabinet and created letter template for this.

When I select letter from Case and select template and merge, the data source tags selection box always appears and also send and save does not actually send a letter.

My questions:-
Has anyone encountered these issues and know the reason/resolution?
Has anyone implemented a solution for this requirement which might be better?
