Send email alert when running low on available records

Hi All,

We have a custom record that once linked to a customer cannot be linked to another. When this happens a check box is marked to signify that the custom record is no longer available.

I'm trying to setup a saved search so when we are down to the last 100 available records an email is sent out alerting us that more need to be imported.

I can use formula fields to work out how many records are still available, but can't workout how to build this into the criteria of the search so that an email can be triggered?
