Scenario:
When the Advanced Item Location Configuration feature is enabled in your NetSuite account, newly created locations are not automatically added to existing item records. This behavior is by design and gives users enhanced control over inventory management by allowing them to selectively associate items with specific locations.
Solution:
With this feature enabled:
- Locations must be manually assigned to item records.
- By default, only locations where item attributes have been configured and inventory activity has occurred (such as transactions) are displayed.
- This setup is standard in NetSuite and is intended to improve flexibility in managing inventory across multiple locations.
A. Manually Assigning a New Location to an Item
To make a new location available in an existing item record:
- Open the item record.
- Navigate to the Locations subtab.
- Click Add Location to open the Item Location Configuration window.
- Enter a Name for the location.
- Choose the appropriate Subsidiary — only locations tied to that subsidiary will be available for selection.
- Select the desired Location.
- Optionally, enter a memo for reference.
- Proceed to assign or edit item attributes such as cost, stock levels, and supply settings for the new location.
B. Automatic Visibility of Locations Post-Transaction
In some cases, a location that doesn’t initially appear in an item record may become visible after a transaction is processed using that location. Once visible, the location will require configuration.
Note: Configuration allows the user to define important attributes like inventory levels, costing, and supply chain settings for that specific location.
C. Transactions with Unconfigured Locations
If a transaction is processed using a location that hasn’t been configured yet for an item:
- The transaction will still go through without errors.
- However, users won’t be able to track detailed information like stock levels or item costs for that location until it is properly configured.
