Hi Sarah! We do it via workflow. When the invoice or sales order is approved, it grabs the billing contact for that account & our distribution email and sends the email out. We have a few different distribution lists, so it sends to the correct one based on what type of product stream they are being billed for.

I did something similar, but I didn't go the workflow route. I just did a saved search based off of the system notes of the Project Total field. Strange. I tried it in my sandbox & it worked ok for me. I marked the employee as inactive. Went back to transaction & they were no longer available to select as an option from the Sales Team dropdown box. I would also caution to be careful with deactivating the employee record. We noticed that a basic payroll import wouldn't assign payroll records to the deactivated employee, so we usually set their Termination date immediately, but mark them as inactive only when their last payroll has been imported.
